Getting started
What happens from the moment a clinic asks to join until its first recorded visit. Seven steps, in this order, and who does each one.
1. Setting up the clinic
Write to hello@clynalia.com with the clinic's name and the name of its owner. We set up the clinic and that person receives their access by email: it is the owner account, the only one that can sign the agreement, enter the tax details and invite the team.
2. The subscription
Clynalia is purchased through Apple's App Store, not from us. The owner signs in to the app with their access and, under Account › Subscription, chooses the monthly or the yearly plan; Apple handles the payment with their Apple Account and issues the invoice. The first 14 days are free: Apple does not charge until day 15, and until then it can be cancelled at no cost.
It is a single subscription per clinic: it covers up to three practitioners plus reception, with no charge per member. It can be cancelled at any time from the Apple Account, with access until the end of the paid period, and the clinic's data is not deleted.
3. The data processing agreement
Before registering the first patient, the clinic signs the data processing agreement with Clynalia: it is what the GDPR requires between the party responsible for its patients' data, the clinic, and the party that processes it on its behalf, Clynalia. You can read it in full on this site, under “Data Processing Agreement”.
Today we send it for signature. In an upcoming version of the app it will be accepted from the owner account itself, with a record of who, when and which version.
4. The issuer's tax details
In the app, under Clinic › Invoicing › Tax details: the invoice issuer's legal name, tax ID, address and town. Without this no invoice can be issued, because every invoice carries those details and enters the VERI*FACTU chain of records.
If the clinic is going to join VERI*FACTU, this is the moment to decide: the first real submission enrols it until the end of the year.
5. The team
Under Clinic › Team, invite each practitioner and the reception staff, each with their role. Reception registers patients and handles invoices without seeing clinical content; each practitioner sees their own patients. A single subscription covers up to three practitioners plus reception.
6. The fiscal station
If the clinic issues invoices, a Mac left on at the clinic submits the records to the Spanish Tax Agency and retries on its own, as VERI*FACTU requires. It is installed from the Mac App Store, signed in with the owner account, and the issuer's digital certificate is installed on it. The installation guide is under “Fiscal station”.
7. The first patient and the first visit
With all of the above, the clinic registers its first patient, opens their record and notes the first visit. From then on, every visit can carry its invoice, and every invoice its record.
If something does not fit your clinic, write to us: hello@clynalia.com.
